The Amy May Trust (“We”), promise to respect and keep safe, any personal data you share with us, or that we get from other organisations. We aim to be clear when we collect your data and not do anything you wouldn’t reasonably expect. 

This policy and any other documents referred to on it, sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us.  Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it.   • Why we collect your data

    Primarily, we collect your data to allow us to facilitate the collection of donations. We do, however, also collect personal data to allow us to better understand our supporters and to allow us to make better decisions, fundraise more efficiently and, ultimately, help us reach goals.

    We may collect information in the following ways:

    When you give it to us directly

    You may give us information in order to sign up to one of our events, list your own event on our website, make a donation, purchase a product or service, tell us your story or communicate with us.

    When you give it to us indirectly

    Your information may be shared with us by independent organisations, for example change.org. Should you support the The Trust through one of these organisations, we will only request your name, geographical location (given in the form of a postcode) and any comments you have made regarding the cause listed with the organisation. Any other information provided, including your email address is protected onto the third parties Privacy Policy. You should check their Privacy Policy when you provide your information to understand fully how they will process your data.

    Social Media

    Depending on your settings or the privacy policies of social media services such as Facebook or Twitter, you might give us permission to access information from those accounts or service, including any comments you make publicly visible on our social media pages.

    What personal data we collect and how we use it?

    The type and quantity of information we collect and how we use it depends on why you are providing it. The type of information that we collect via the Site includes:

    In making a donation through the Site, we will collect the following information:

    • Your name

    • Your contact details, including email and postal address/card registered address.

    • Your bank or credit card details. (Please note, we use a secured third-party merchant to handle all online payments. We are not made aware of your personal banking details. All data is encrypted and secured using SSL certificated).  

    Where it is appropriate, we may also ask for the following information: your gender, date of birth, place or work, industry of work, personal telephone numbers and telephone numbers of those of informed persons (for the sole purple of emergency contact during an event).

    We may also record additional information that you provide to us as a result of your use of the Site. This may include:

    technical information, your browser type and version, time zone setting, operating system and platform;

    information about your visit, including the full Uniform Resource Locators (URL) clickstream to, through and from our site (including date and time); website pages you viewed; page response times, length of visits to certain pages and methods used to browse away from the page.

Examples include credit/debit card payment services, Site hosting and order fulfilment.     How we keep your data safe

    We place great importance on maintaining the security of the information that you provide via the Site and for this reason we use advanced internet security systems to safeguard your information. In addition, the Site is protected by a SSL Certificate ensuring that all information you provide via the Site is encrypted and converted into code before it is transmitted over the internet. Therefore, in the extremely unlikely event that this information should be intercepted, it would be encrypted and difficult to decipher.

    Payment data is processed by two registered third parties located in the US. We put measures in place to ensure these organisations are secure and their own privacy policy work alongside the promises made in our own. These organisations employ firewalls to protect against intruders, build redundancies throughout the network, as well as transmit payment information using HTTPS encryption, alongside maintaining a PCI DSS certification.

    Location

    The information that you submit to us via the Site is stored on servers in a secure location, under the Squarespace Inc. and Google infrastructure. The location of our own servers is subject to change. Your information will not be stored for longer than is necessary for the purposes set out in this Privacy Policy.

  • Your right to know what we know about you, how to change it and how to ask us to remove it

    You, of course, have a full right to ask us to stop using or processing your data and if it’s not necessary for the purpose you provided it to us for (such as for processing a donation or registering for an event), we will do so.

    We will usually inform you (before collecting your data) if we intend to use your data for such purposes or if we intend to disclose your information to any third party for such purposes. You can exercise your right to prevent such processing by checking certain boxes on the forms we use to collect your data.
